Ashland UniversityLibrary Electronic Reserves Information and Instructions

Articles and other materials intended for use by students in a class at Ashland University and the Ashland Theological Seminary may be placed on electronic reserves, or E-Res, at the library. This document outlines and highlights faculty responsibilities as well as the limitations imposed by "fair-use" copyright guidelines for reserve materials.  For answers to freqently asked questions about electronic reserves see Faculty FAQ's about E-Res.

General Instructions:

  • Faculty members must submit an Electronic Reserve Submission Form for each class with reserve materials.  Forms are available from the circulation desk or online.

  • It is possible for some materials from a single class to be placed on electronic reserve while others are made available at the Ashland University Library reserve desk.
  • Up to five working days processing time may be required to make new reserve items supplied by faculty members available to students.
  • Faculty members are encouraged to submit complete reserve lists before each academic session. 
  • Requests must include complete citations for each item (for articles: author, article title, journal title, volume number, issue number, date, page numbers; for book excerpts: author, chapter title, book title, publisher, date of publication).
  • Please do not tell students that materials are available on reserve until you have been notified by the library that your materials have been processed and are available.


Course materials accepted for electronic reserves:

Ashland University Library will make every effort to accommodate faculty requests for electronic course reserve materials, but may need to limit the amount of materials placed on reserve for any one course, or to restrict inclusion of materials for copyright reasons. Electronic reserves are meant to supplement required course text materials.

 Content generally considered appropriate for inclusion in electronic reserves:

  • Instructor-owned material such as course syllabi, lecture notes, problem sets/solutions, sample exams.
  • Limited portions of copyrighted works such as a chapter of a book or a selection (10% or less) from non-print works such as digital collections of images.
  • A single copy of an article may be placed on reserve. Only one article from an individual journal issue may be on reserve at any time. (If a journal issue is available electronically, we may be able to create links to multiple articles).

 Content generally not accepted for electronic reserves:

  • Collections of readings that constitute the text for a course. These collections should be made available through course packs, with appropriate royalty fees paid.
  • Materials extracted from consumable workbooks that students would normally be expected to purchase.
  • Journal articles that have been included in course packs students are expected to purchase.
  • Copyrighted materials that do not include a complete citation and/or clear indication of copyright ownership.
  • Student papers or other non-copyrighted works not accompanied by written permission from the author.
  • Items that exceed 50 pages should be placed on regular (paper) reserves unless the item is for an off-campus course.

 Articles:

If Ashland University Library owns the journal and designated issue in any format, and we are given a proper citation for the article, we will provide access to a digital copy for electronic reserve. Course materials on electronic reserve may also be accessed  through WebCT pages.

 If Ashland University Library does not own the journal, the instructor is responsible for providing a clearly legible photocopy of the article, including a complete citation.  Such an article may be placed on reserve for one semester without securing copyright permission from the publisher..

Excerpts from books:

If Ashland University Library owns the book:

  • At least one week’s advance notice is required to allow for time to recall books that are checked out.
  • Excerpts can include one chapter or short story or essay or poem.  Typically the excerpt should not exceed 10% of the book.

If Ashland University does not own the book:

  • Please contact the appropriate subject liaison librarian six weeks in advance to discuss purchasing the book(s) for the Ashland University Library collection.
  • If a book is not selected for purchase, an instructor’s personal copy may be used to copy an excerpt to place on reserve for one term.  Subsequent use requires copyright permission.
  • If a book has been selected for purchase and is on order, we are permitted to borrow a copy through interlibrary loan while we wait for our copy to be received.
