In an effort to help the conservation of printing resources, the Department of Information Technology, with the support of the Ashland University Cabinet, will institute a print management system.
The goals for this plan are:
- To raise awareness of environmental impact of waste paper and toner
- To reduce costs associated with waster paper and toner
- To encourage Ashland University students to use electronic means for sharing and viewing documents
- Implementation of a print quota system for Ashland University students
How this system will work:
- The print quotas will go into effect on Memorial Day Weekend (5/23/09)
- Each student will have a print quota of 400 pages for each term. Terms are from June to December and January to June. There will be some leniency during the first term to allow students and staff to become accustomed to the new program and policy.
- In labs with duplex capable printers, students will be able to decrease the charge to their quota by printing on both sides of the page. Duplexed pages will only decrease their quota by 1 page instead of 2.
- Each student’s print quota is reset each term so there will be no carryover from one term to the next.
- Each time a student prints to a metered printer, see list below, a password box will appear. The student will need to enter their AD username and password. This is the same username and password that they use to login to the machine. Once authenticated, another dialog box will appear that states the number of pages in the print job, the amount of pages their quota will be charged and their current quota balance. Their options will be to continue with the print job or cancel the job.
- If a student exhausts the page quota, more pages can be purchased with cash at the IT Help Desk for $.05 per page. Students will receive warning e-mails when they are close to exhausting their quota. During the first term of 2009-2010, students will be able to print slightly over their quota without incurring any charge. They can then come to the IT Help Desk and request an extra 100 pages.
- Student organization will be allowed to print in the student activities office.
- Student workers will be able to print to departmental printers without affecting their quota.
- If your department has a printer that you would like added to the metered list, please contact the Help Desk to have that printer configured.
- Miscellaneous and generic accounts will not be able to print to metered printers.
